
The ACLU of Nebraska (ACLU-NE) seeks an Executive Administrative Assistant to serve as a valued administrative liaison to the Executive Director while supporting the organization’s broad range of administrative and logistical needs. This position is vital to the integrated advocacy and intersectional tactics utilized by the ACLU-NE team to advance human rights, civil rights, and civil liberties across Nebraska.
OVERVIEW
The ACLU-NE is the state affiliate of the national American Civil Liberties Union (ACLU) and an independent 501(c)(3) and 501(c)(4) nonprofit, nonpartisan organization dedicated to the defense and expansion of the individual rights and liberties of all Nebraskans. The ACLU-NE carries out our mission through a sophisticated program of integrated advocacy with strategies that include litigation, negotiation, advocacy, and public engagement and activation. The ACLU-NE is proud to foster a fun and fast-paced work environment. Our offices are in the heart of Nebraska’s capital city, Lincoln, Nebraska. Our 14-person team is complemented by law clerks, interns, contractors, volunteer attorneys, and thousands of supporters statewide.
CORE RESPONSIBILITIES
Executive Support
- Serve as the Executive Director’s primary administrative partner, ensuring they have the resources, information and day-to-day support necessary to effectively lead the organization.
- Handle sensitive and confidential information with the highest level of discretion, professionalism, and integrity.
- Manage the Executive Director’s calendar, appointments, and meeting coordination.
- Track correspondence, requests, follow-ups, and responses involving internal and external stakeholders.
- Prepare and complete the Executive Director’s monthly expense reports and related documentation.
- Coordinate travel arrangements and logistics for the Executive Director.
- Manage board-related administrative responsibilities, including distributing meeting materials, preparing for board and committee meetings, assisting with travel arrangements and providing meeting support.
- Coordinate and support interdepartmental administrative projects to strengthen collaboration, maximize organizational effectiveness, and advance integrated advocacy efforts.
Office Administration
- Maintain the functionality, cleanliness, comfort, and safety of the office.
- Manage office supplies, inventory, and equipment, ensuring adequate availability, organization and proper functioning.
- Coordinate with vendors, contractors and service providers regarding office maintenance, repairs and other facilities-related needs.
- Implement and maintain office policies and procedures and coordinate office-related training for staff as needed.
- Support the planning of hosting office events and organizational activities.
- Provide logistical support for in-person and virtual meetings, including ordering meals, room setup, technology, materials, and other meeting needs.
- Process incoming and outgoing mail, packages and deliveries.
DESIRED QUALIFICATIONS AND EXPERIENCE
- Experience in an office administrative / support role (prior experience as an executive assistant or in another administrative role working with executive teams preferred).
- Proficiency with office technology and information systems, including Microsoft Office Suite (Outlook, Word, Excel, Power Point, Teams), databases and video conferencing.
- Highly organized with the ability to effectively prioritize work tasks and meet daily needs.
- Ability to work collaboratively in a fast-paced environment with fellow ACLU-NE staff and outside contractors, while managing several projects simultaneously and adjusting to frequently shifting immediate demands.
- Experience in exercising discretion and confidentiality with sensitive information.
- Exceptional written and verbal communication skills.
- Experience inhuman rights, civil rights, civil liberties, or related public interest work.

COMPENSATION, BENEFITS, LOCATION AND SCHEDULE
This is a full-time, non-exempt, at-will, salaried position reporting to the Executive Director. The salary range for this position is $41,000 - $58,500 depending on experience and qualifications. This role’s normal office hours are 9 a.m. – 5 p.m. Monday through Friday and occasionally, weekend and evening hours are required.
