POSITION SUMMARY

Working in partnership with the Leadership Team, the Marketing and Development Coordinator will lead and coordinate the agency’s marketing, communications, public relations, and development efforts to increase community awareness, strengthen relationships, and grow and diversify the agency’s funding base. This position will be responsible for developing and implementing a comprehensive Marketing and Development Plan that supports the agency’s strategic priorities and fundraising goals.

The Marketing and Development Coordinator will oversee donor development activities, including prospect identification, cultivation, solicitation, and stewardship. Responsibilities will include individual and corporate giving, annual appeals, major donor development, grant research and writing, sponsorship opportunities, special events, digital communications, social media, and community engagement. The position will work closely with the Leadership Team, program staff, board members, community partners, donors, businesses, and other stakeholders to promote the mission, programs, and impact of CYHS.

CORE ACCOUNTABILITIES

Marketing, Communications, PR

    • Work collaboratively with the Leadership Team to develop, implement, and evaluate an annual communications and marketing plan designed to increase awareness and visibility of CYHS among prospective donors, community leaders, community organizations, businesses, partners, and the general public.

    • Serve as an ambassador of the agency’s mission, programs, and services at community and networking events while building professional relationships and expanding CYHS’s community presence and outreach. This may include occasional evening and weekend events.

    • Participate in the development and execution of the agency’s overall strategic marketing plan and ensure marketing activities align with organizational priorities and goals.

    • Develop and maintain consistent branding and messaging across agency communications and promotional materials.

    • Manage, update, and maintain the agency website and social media platforms to ensure content is current, accurate, engaging, and reflective of the agency’s mission and programs.

    • Create, coordinate, and/or oversee the production of brochures, newsletters, advertisements, flyers, posters, presentations, digital content, and other promotional materials.

    • Develop and coordinate marketing campaigns to promote agency programs, services, fundraising initiatives, special events, and community activities.

    • Coordinate public relations efforts, including press releases, media communications, community announcements, and opportunities to highlight agency programs and accomplishments.

    • Track and evaluate marketing and communications activities and recommend strategies to improve engagement, reach, and community awareness.

    • Ensure marketing and public relations materials are professional, accurate, timely, and consistent with the agency’s mission, brand, and values.

Fundraising & Donor Development

    • Assist in the development, implementation, and evaluation of strategic fundraising plans designed to increase revenue, diversify funding sources, and support CYHS programs, initiatives, and priorities.

    • Identify, research, cultivate, solicit, and steward individual, corporate, foundation, community, and other prospective donors and funding partners.

    • Develop and implement strategies to grow and sustain annual giving, major gifts, planned giving, corporate support, sponsorships, individual appeals, and other fundraising initiatives.

    • Establish annual development goals related to prospects, donor contacts, solicitations, gifts, sponsorships, and donor retention; monitor results and provide regular updates to the Leadership Team.

    • Collaborate with the Leadership Team and program staff to develop fundraising strategies and funding opportunities that align with agency needs and priorities.

    • Coordinate donor cultivation, recognition, acknowledgement, and stewardship activities to strengthen relationships and encourage continued support.

    • Manage and maintain the donor database, ensuring accurate and current donor information, giving histories, contacts, acknowledgements, and related records.

    • Utilize donor management systems to generate reports, mailing lists, donor records, giving histories, and other information necessary to support fundraising and stewardship activities.

Grant Development & Administration

    • Research and identify grant opportunities aligned with CYHS programs, services, strategic priorities, and funding needs; maintain a comprehensive grant calendar of application, reporting, renewal, and other important deadlines.

    • Coordinate and/or prepare grant applications, letters of inquiry, proposals, narratives, budgets, reports, and supporting documentation in collaboration with the Leadership Team and appropriate program staff.

    • Maintain organized records of grant submissions, awards, reporting requirements, correspondence, outcomes, and other grant-related documentation.

    • Coordinate the collection of information needed for grant reporting and ensure required reports and documentation are accurate, complete, and submitted timely.

    • Monitor grant and fundraising outcomes and provide regular updates to the Leadership Team regarding funding opportunities, progress toward goals, and results.

Special Event Management

    • ·        Provide planning and coordination support for agency special events and fundraising activities, including data management, invitations, mailings, sponsorships, marketing, donor communications, and other event-related activities.

    • Coordinate and execute smaller fundraising, donor engagement, and community events throughout the year.

    • Assist with the planning and execution of major agency fundraising events, including the annual golf outing and annual appeal.

    • Develop strategies to increase event participation, sponsorship revenue, donor engagement, and overall event success.

    • Coordinate and expand silent auction activities, including soliciting donations, maintaining donor records, organizing auction items, promoting auction opportunities, and assisting with event execution.

    • Develop and maintain relationships with event sponsors, vendors, donors, volunteers, and community partners.

    • Evaluate special events following completion and make recommendations for improving participation, fundraising results, and overall effectiveness.

Additional Duties

    • Review and recommend improvements to processes associated with areas of responsibility and identify opportunities to increase efficiency, effectiveness, and organizational impact.

    • Track relevant marketing, communications, fundraising, and development metrics and provide information and reports to the Leadership Team as requested.

    • Participate in staff meetings, conferences, training sessions, workshops, community meetings, and professional development opportunities as assigned.

    • Demonstrate familiarity with and adherence to agency policies, performance standards, procedures, and the agency’s Mission, Vision, and Core Values.

    • Maintain confidentiality and exercise sound judgment when handling donor, agency, employee, participant, and other sensitive information.

    • Build and maintain positive, professional relationships with staff, board members, donors, volunteers, community partners, businesses, and other stakeholders.

    • Be a contributory team member who promotes a positive, collaborative, and productive work environment.

    • Assist the Leadership Team with special projects and organizational initiatives.

    • Perform other related duties as assigned.

QUALIFICATIONS

    • Bachelor’s degree required. Degree in Business Administration, Marketing, Communications, Public Relations, Nonprofit Management, Fundraising, or a related field preferred.

    • Two years of professional experience in marketing, communications, fundraising, development, public relations, nonprofit administration, or a related field required. Nonprofit development or fundraising experience strongly preferred.

    • Demonstrated ability to establish and maintain professional relationships with donors, businesses, community leaders, organizations, and other stakeholders.

    • Strong written and verbal communication skills with the ability to effectively communicate with diverse audiences and represent the agency in a professional manner.

    • Proficient in Microsoft Office programs, including Word, Excel, Outlook, and PowerPoint.

    • Knowledge and experience with social media platforms, digital communications, website content management, and basic graphic design or marketing tools preferred.

    • Knowledge of fundraising principles, donor cultivation and stewardship, grant development, community engagement, and/or nonprofit marketing preferred.

    • Ability to research funding opportunities, develop written proposals and communications, organize information, and meet grant and fundraising deadlines.

    • Ability to prioritize, manage multiple projects, meet deadlines, and follow through with minimal direction.

    • Strong attention to detail, organizational skills, project management skills, and the ability to maintain accurate records.
