Program Assistant

We are seeking an organized, passionate Program Assistant to join our Family Services team. In this key role, you will facilitate the intake process for new families in our shelter programs, provide administrative support as we collect data for the services we provide, and communicate the supply needs of our families to others in the organization. While you will have initial contact with the families we serve, this position does not involve case management or regular contact with families and requires professional and personal boundaries.

Your Role:

As part of the Family services team, you will be responsible for determining a family’s eligibility for services based on established guidelines, scheduling phone intake appointments, and preparing for the family’s arrival. You will also be responsible for tracking data/inventory as it relates to grants, supplies, and other family-specific services.

This position is part of the Family services team and reports to the shelter operations manager. You will also work closely with Homeless No More's administrative specialist, community relations coordinator, and Director of Programs.

Key Responsibilities:

Intake

  • Handle all incoming intake calls and complete daily call sheets

  • Perform an initial assessment based on established guidelines, confirm eligibility of family seeking services, and (if eligible) schedule phone intake.

  • Prepare case management file for new clients including shelter policies and procedures, background screening, etc.

  • Prepare shelter space for families (room at Family Shelter and apartment at St. Lawrence Place) with the assistance of the operations team and cleaning service prior to the family’s arrival.

  • Prepare personal intake bags (hygiene items, cleaning supplies, etc.) for families.

  • Assist families with actual move-in.

  • Update new family’s room, apartment number, identification on intake wall inside office and intake booklet inside Family Shelter

Data Management

  • Assist in tracking and reporting data related to agency grants and compliance regulations.

  • Assist Shelter operations manager with documenting and follow up on work orders.

Inventory

  • Track and inventory needed items for shelter rooms, free stores, and kitchen.

  • Oversee breakfast inventory and prep, and appropriate storage and disposal of meal leftovers.

Additional Responsibilities

  • Serve as an active participant on the Family services team, providing backup and support to the team as needed.

  • Assist with other tasks as needed.

We’re Looking for Someone Who:

  • Has experience working with at-risk populations, including but not limited to: people experiencing homelessness and people living in poverty

  • Thrives in a fast-paced environment and enjoys working with children and families

  • Has a passion for helping families attain stability

  • Demonstrates the ability to work effectively as a member of a multidisciplinary team

  • Has strong verbal and written communication, administrative, and organizational skills

  • Has a strength-based and solution-focused approach

  • Demonstrates the ability to manage and de-escalate crisis situations

  • An ability to successfully multi-task, prioritize, or pivot to ensure quality care

  • An understanding of data collection, reporting, and compliance management

Required Qualifications:

  • A degree in nonprofit administration, public administration, business, or related field (or equivalent experience)

  • Experience working with people of all socioeconomic backgrounds

  • Demonstrated excellence in organizational, crisis management, and communication skills

  • History of maintaining appropriate professional and personal boundaries

  • Proficiency in Microsoft Office Suite

Preferred Qualifications or Willingness to Learn:

  • An ability to de-escalate situations when necessary

  • A working knowledge of homelessness and poverty

  • Knowledge of evidence-based practices and an understanding of the importance of outcomes

  • Experience working in HMIS (Homeless Management Information System)

Position Details

Salary Range: $17.50/hour to $23.00/hour

Hiring Range: $17.50/hour to $20.00/hour

commensurate with experience and education

Homeless No More is in Columbia, SC, and our shelter campuses are located at or near 2411 Two Notch Road. This position is an in-office position.

This is a full-time, salaried position and may require occasional evenings and weekends to support events and your HNM teammates.
