Development & Marketing Associate

The Development & Marketing Associate is a cross-functional role responsible for supporting and executing key initiatives across marketing, fundraising, data systems, and institutional sales. This position plays a critical role in advancing organizational visibility, strengthening donor and audience engagement, and ensuring the effective use of systems and data to inform decision-making.

This role combines creative, administrative, and technical responsibilities, with increasing ownership over marketing execution, development operations, and internal systems management.

Marketing, Communications & Brand Management

  • Execute email marketing campaigns, including weekly e-blasts and the monthly educator newsletter,
The Hippo.
  • Support marketing for education programs by drafting messaging and implementing plans developed

in collaboration with organizational leadership.

  • Write, design, and update marketing materials, including production artwork, organizational

collateral, and promotional assets.

  • Coordinate design requests across departments and assist with timelines, vendors, and distribution
logistics.
  • Track print and digital projects from concept through delivery, coordinating with vendors and internal
stakeholders.
  • Maintain the organization’s social media accounts, including creating and scheduling content,

monitoring engagement, and compiling performance data.

  • Assist with the development and execution of fundraising and institutional campaigns, including

Giving Tuesday and gala promotions.

  • Apply established brand standards and help maintain a consistent voice and message across

communications channels.

Development & Fundraising Operations

  • Process gifts and enter donor data within 48 hours of receipt; prepare and distribute

acknowledgements within five business days.

  • Maintain accurate donor records and uphold consistent data hygiene and file-management practices.
  • Support donor stewardship activities, including tracking communications, preparing materials, and

coordinating follow-up.

  • Conduct prospect research and help identify prospective individual, corporate, and institutional
donors.
  • Support donor portfolio and moves management by maintaining records, coordinating meeting

outreach, and preparing briefing materials.

  • Coordinate direct-mail campaigns, including list preparation, mail merges, printing, assembly, and
distribution.
  • Assist with the planning and execution of development events, including the annual gala.
  • Coordinate silent-auction activities, including item procurement, donor outreach, tracking, display,

and acknowledgements.

  • Maintain the grants calendar and assist with grant applications, supporting materials, and reports.
  • Provide administrative and logistical support for board fundraising activities and the External Affairs
Committee.
  • Support community-based relationship-building through outreach, follow-up, and distribution of

materials to donors and partners.

  • Maintain confidentiality and adhere to ethical standards in all donor-related activities.

Institutional Sales, Ticketing & Customer Experience

  • Coordinate institutional bookings, including responding to inquiries, preparing contracts,

communicating established pricing, and conducting follow-up.

  • Maintain relationships with schools and community partners to support attendance, customer

retention, and repeat bookings.

  • Conduct sales outreach and provide timely, responsive customer service to schools, partners, and
patrons.
  • Provide front-line box-office support, including phone and email sales, reservation assistance, promocode administration, and patron support.
  • Maintain attendance and booking records and coordinate billing and invoicing with the finance team

to ensure accuracy.

  • Apply established patron-experience standards and help ensure consistently welcoming, high-quality

service across all interactions.

Data, CRM & Systems Management

  • Use established systems to manage bookings, attendance tracking, billing, data collection, and
reporting.
  • Maintain accurate and consistent donor, patron, program, and financial records across organizational
systems.
  • Maintain and improve Airtable bases, forms, and workflows in response to established operational
needs.
  • Build and maintain approved automations that reduce duplication and improve administrative
efficiency.
  • Assist with developing and documenting systems that support reporting, data collection, and crossdepartmental coordination.
  • Prepare recurring and as-needed reports for production, development, finance, leadership, and
board use.
  • Support program evaluation by collecting, organizing, and summarizing data to help assess outcomes

and inform organizational planning.

Events, Outreach & Community Engagement

  • Support planning and execution of organizational events, including on-site coordination and logistics
  • Represent the organization at community events, tabling opportunities, and partner engagements
  • Coordinate materials distribution and outreach efforts to support marketing and development goals
  • Assist with event setup, logistics, and audience experience

DESIRED SKILLS AND EXPERIENCE:

    • 1-2 years of experience in nonprofit administration, marketing, development, or related field

    • Strong written, visual, and interpersonal communication skills

    • Experience with CRM/database systems (e.g. PatronManager, Airtable)

    • Proficiency in design tools (e.g., Canva, Adobe Suite) and email marketing platforms

    • Strong project management and organizational skills with attention to detail

    • Ability to manage multiple priorities and deadlines in a fast-paced environment

    • Commitment to high-quality customer service and relationship management

    • Ability to handle confidential information with discretion and professionalism
