Role OverviewThe Manager of AMS & Data Operations is responsible for the day-to-day management, configuration, data quality, and effective use of SWANA’s Association Management System (AMS) and related organizational data. This position works across the organization to ensure that systems and data effectively support staff, members, programs, and SWANA’s mission.
The Manager serves as a key bridge between business needs and technology. The position works directly with staff to gather requirements, configure and test AMS solutions, troubleshoot data and system issues, improve processes, and provide training and support. The role also helps maintain accurate data integration across the AMS, marketing automation, and other systems.
The position is responsible for the successful operation of SWANA’s annual conference registration system. The Manager leads the AMS-related work from requirements gathering and configuration through testing, launch, staff training, reporting, and post-registration reconciliation.
The Manager is directly responsible for maintaining data quality and data cleanup. The successful candidate will look beyond an individual error to understand its root cause and develop sustainable solutions to prevent recurring problems. The position will promote consistent and responsible use of organizational data and technology.
Key ResponsibilitiesAMS Administration & Configuration
Serve as the primary day-to-day administrator for SWANA’s AMS, including system configuration, maintenance, updates, imports, exports, and data-quality activities.
Translate business requirements into AMS configuration, including fields, workflows, business rules, pricing, modules, and related functionality. Identify and deploy processes to streamline workflow, reduce manual work, improve the member/staff experience, and make better use of existing technology.
Investigate the root causes of AMS problems and implement sustainable solutions to prevent recurring issues. Maintain documentation of system configuration, data standards, and workflows.
Monitor integration performance and troubleshoot data flow issues between connected systems. Coordinate with technology partners on system enhancements, escalated issues, and integration support.
Document user profiles, roles, permissions, and security settings to ensure appropriate system access across the organization. Maintain governance standards and ensure compliance with organizational data privacy practices.
Stay current with AMS and platform releases; assess impacts and coordinate updates and testing with staff and vendors.
Evaluate new tools and technologies to support organizational needs and recommend solutions to leadership.
Data Integrity and Reporting
Ensure the accuracy, completeness, and integrity of member, chapter, and organizational data within the AMS.
Conduct regular data-quality audits, deduplication, and quality assurance reviews.
Own and personally perform hands-on data cleanup, including identifying and resolving duplicate records, correcting inaccurate or incomplete information, and addressing other data-quality issues.
Develop and maintain reports, exports, dashboards, and other tools that help staff, leadership, and volunteers effectively use organizational data.
Annual Conference Registration
Own the AMS and database components of SWANA’s annual conference registration process.
Work with internal stakeholders to gather requirements and translate them into registration functionality and workflows.
Configure and build the AMS registration environment, including registration forms, pricing, discounts, workflows, and reports.
Develop and execute comprehensive testing before registration opens; identify and resolve issues and coordinate with vendors when needed.
Train staff, provide ongoing registration support and reporting, monitor data and system performance, and support post-conference reconciliation and improvements.
User Support & Communication
Serve as the primary internal resource for AMS-related questions, troubleshooting, and user support.
Work directly with staff to understand business needs, workflows, and desired outcomes. Determine whether a need is best addressed through system configuration, process improvement, data correction, training, or vendor support and help implement practical systems/process solutions.
Develop clear documentation, SOPs and job aids for AMS functionality, data entry standards, and system updates.
Train and support users with varying levels of technical expertise. Support chapter leaders and volunteers in using SWANA-provided technology tools and self-service portals.
Communicate effectively with internal stakeholders and external technology vendors and follow issues through to resolution.

Qualifications
RequiredBachelor’s degree in information systems, business, data management, computer science, or a related field, or an equivalent combination of education and relevant experience.
At least three years of professional experience in AMS administration, CRM administration, database/data management, business systems, or a closely related field.
Demonstrated experience administering and configuring an AMS, CRM, membership database, or comparable business system through its administrative interface.
Strong data management skills, including experience with data imports, audits, deduplication, and quality assurance. Demonstrated experience performing hands-on data cleanup and maintenance, including identifying and resolving duplicate records, correcting data inconsistencies, merging records, and validating changes.
- Experience with system testing, including developing test scenarios, validating results, documenting issues, and confirming solutions meet requirements.
- Experience translating business requirements into system configuration and practical solutions. Solid understanding of association business processes including dues management, event registration, certifications, and committees.
Strong analytical, problem-solving skills, including ability to investigate data/system issues and identify root causes.
Ability to develop reports, dashboards, and data summaries for varied audiences, including staff and leadership.
Strong project management skills to coordinate own work as well as small to large projects with internal and external stakeholders.
- Experience providing training and support to system users with varying levels of technical expertise.
Strong written and verbal communication skills; ability to translate technical concepts for non-technical staff.
Highly organized with strong attention to detail and the ability to manage multiple priorities simultaneously. Self directed to explore database issues then present issues and propose resolutions to relevant stakeholders.
PreferredHands-on experience with Impexium/re:Members AMS, including membership, conference registration, committees, and self-service portal configuration.
- Experience working in a professional association, nonprofit, or membership-based organization.
Familiarity with integrated platforms such as marketing automation tools (e.g., HubSpot), financial systems, and LMS platforms.
- Experience building and maintaining reports and dashboards using business intelligence tools from Excel to visualization systems.
- Knowledge of data privacy regulations and best practices relevant to member data management. Experience establishing and monitoring data governance standards.
- Experience with API integrations or working alongside developers on system connectivity projects.
Proficiency in Microsoft Office Suite, especially Excel (including data manipulation, pivot tables, and VLOOKUPs).
