
Position Summary
Circus Juventas is seeking an organized, detail-oriented, and service-focused Office Manager to oversee daily administrative operations and ensure a welcoming, efficient environment for students, families, staff, volunteers, and visitors. The Office Manager serves as a central point of coordination for office functions, communications, records management, customer service, and administrative support, helping advance the mission of Circus Juventas through exceptional operational excellence.
Key Responsibilities
Office Administration
- Manage day-to-day office operations and administrative systems
- Manage ongoing attendance, enrollment updates, and substitute coach coverage
- Ensure facilities remain organized, functional, and welcoming
- Maintain organized physical and digital filing systems, records, and databases.
- Draft and distribute routine communications
Customer Service & Front Desk Operations
- Serve as a primary point of contact for students, families, staff, and community members
- Respond promptly and professionally to phone calls, emails, and in-person inquiries
- Support student registration processes
Program & Event Support
- Manage box office and ticketing operations during summer, holiday, and spring performances
- Coordinate administrative needs for performances and events
- Assist with event logistics and communication in planning and implementation phases
- Provide operational support during organizational events and productions
- Work collaboratively with program staff to ensure efficient implementation of organizational activities
Required
- Associate's degree or equivalent professional experience.
- Three or more years of office management, administrative, customer service, or nonprofit operations experience.
- Strong organizational and project management skills.
- Excellent written and verbal communication abilities.
- Proficiency with Microsoft Office 365, Google Workspace, and database systems.
- Ability to manage multiple priorities with attention to detail and accuracy.
- Strong interpersonal skills and commitment to outstanding customer service.
- Ability to handle confidential information with professionalism and discretion.
Preferred
- Experience working in nonprofit, arts, education, or youth-serving organizations.
- Familiarity with registration, CRM, or donor management software.
- Experience supporting events, volunteers, or fundraising activities.
- Knowledge of basic bookkeeping and financial recordkeeping practices.

Physical Requirements
- Ability to sit, stand, and move throughout the facility for extended periods.

Schedule
- The primary hours for this job will be between 9:00 a.m. and 6:30 p.m., Monday-Friday.
- Schedule will require additional hours/flexible hours during peak activity times (registration, spring and summer performances, events, etc.) Evening and weekend hours are expected.
