About GiGi’s Playhouse
Founded in 2003, GiGi’s Playhouse is dedicated to changing the way the world views Down syndrome and promoting acceptance for all. Through free educational and therapeutic programs delivered at more than 60 locations across North America, we help individuals with Down syndrome develop skills that support lifelong growth and independence.
Job Description
The Site Manager leads the day-to-day operation of GiGi’s Playhouse Hillsborough, including volunteer leadership, program scheduling, family engagement, facility and office management, communications, community outreach, and support for Playhouse events and fundraisers. Because GiGi’s Playhouse is powered almost entirely by volunteers, this position plays a central role in making sure programs, events, and activities are staffed and delivered safely, consistently, and in alignment with GiGi’s Playhouse standards.
Working in partnership with the Board of Managers and its committees, the Site Manager keeps the Playhouse running smoothly and connected to the community. The core focus of the role is the work inside the Playhouse, with opportunities to partner with local organizations for outreach and awareness. Success in this position requires sound judgment, strong communication, and flexibility to oversee or cover programs and events as needed, including some evenings and weekends.
Candidates with experience in nonprofit management, operations, volunteer management, or community programming are encouraged to apply.
Essential Job Functions:
Volunteer Leadership
Volunteers support nearly every aspect of the Playhouse, including programs, events, administration, and committees. The Site Manager leads the volunteer team that makes this possible.
- Lead and meet regularly with key volunteers to ensure all programs, events, and activities are fully staffed and supported.
- Recruit, onboard, and place new volunteers, and ensure each one is trained and ready for their role.
- Recognize and thank volunteers year-round, from informal acts of appreciation to annual volunteer recognition, in collaboration with the Board and committees.
Programs & Families
Ensure programs meet family needs and GiGi’s Playhouse standards.
- Ensure Playhouse programs align with GiGi’s Playhouse national objectives and brand standards.
- Gather input from families at least annually, through surveys and conversations, to identify program needs and preferred scheduling.
Operations & Administration
Keep the Playhouse welcoming, safe, organized, and ready for programs and day-to-day activities.
- Welcome and connect with every visitor to the Playhouse, including families, volunteers, and donors, whether in person, by phone, or by email.
- Manage office organization, including ordering inventory, office supplies, and program supplies.
- Become the Playhouse’s Salesforce and other technology platforms expert, documenting and tracking volunteer activity, program participation, donations, and family data, and reporting on trends.
- Track incoming and outgoing funds (receipts, secure deposits, etc.) in collaboration with the centralized bookkeeper and Board Treasurer.
- Maintain a welcoming, clean, organized, and safe Playhouse for families, volunteers, and donors.
Marketing & Communications
Grow participation and community connection by keeping Playhouse information current and sharing stories that highlight our impact.
- Grow program participation, volunteer hours, and family and community connections through marketing and outreach.
- Maintain the online calendar with program and event updates.
- Create promotional flyers and other graphics for local Playhouse events.
- Produce the monthly e-newsletter, capturing success stories, quotes, and photos using the national template.
- Update the local website and manage social media accounts.
- Send new parent celebration packets, thank-you notes, sponsor packets, activity books, and awareness and marketing materials as needed.
- Partner with the Board’s Marketing Committee for support and guidance on all marketing activities.
Stewardship & Outreach
Support the donor and community relationships that sustain the Playhouse.
- Create and maintain a Playhouse wish list (items to fund, in-kind donations, and volunteer needs).
- Assist with local and regional fundraisers as needed.
- Use Salesforce to process event-related donations and registrations.
- Ensure donor acknowledgements are processed on a timely basis.
- Grow local community awareness through presentations, newsletters, and press releases.
- Collaborate with local Down syndrome organizations, community businesses, schools, and libraries.
Board & National Partnership
Keep the Board informed and the Playhouse connected to the GiGi’s Playhouse network.
- Work collaboratively with National Office staff and the local team, including Board members, committee members, volunteers, families, and donors.
- Partner with Board members and committees to leverage their expertise and support.
- Attend national staff calls and respond to network-wide requirements from the National Office.
- Prepare the monthly Playhouse Impact Report and share it with the National Office and local Board.
- Follow national guidelines and policies outlined in the Standards of Execution and the Operations, Programs, and Human Resources manuals.
- Keep the Board of Managers informed of Playhouse activities, needs, and concerns.
Success in this role will be reflected through a well-run Playhouse, strong volunteer leadership and program offerings, and positive experiences for participants, families, volunteers and supporters.
The successful candidate will demonstrate leadership, initiative, teamwork, clear communication, problem solving, and strong organization while maintaining a welcoming, mission-driven environment for families and volunteers.
Requirements
- At least 5 years’ experience and/or training as a manager, or an equivalent combination of education and experience. Nonprofit or volunteer management experience is a plus.
- Strong written and verbal communication skills, including the ability to write reports and correspondence and to present information to groups. Bilingual in Spanish is a plus.
- Advanced proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook, and Teams), familiarity with social media platforms (Instagram, Facebook, LinkedIn), and the ability to learn and work proficiently in Salesforce.
- This is an in-person role based at the Playhouse, requiring regular interaction with families, volunteers, and community partners, with occasional outdoor and off-site community events.
