Program Coordinator
Humboldt-Del Norte County Medical Society · Eureka, CA
We’re looking for an organized, versatile coordinator to manage our programs and office operations, from continuing medical education (CME) and member events to bookkeeping and communications. A self-starter who can juggle several deadlines, communicates clearly and professionally with physicians, vendors and the public, and understands the importance of confidentiality, including HIPAA.
About Us
The Humboldt-Del Norte County Medical Society supports physicians and advanced practice clinicians across California’s North Coast. We run an accredited CME program, host member events, and partner with Cal Poly Humboldt, College of the Redwoods, local hospitals and schools to grow the next generation of local healthcare professionals. We’re a two-person office, so your work will be visible and valued every day.
About the Role
You’ll be the Executive Director’s right-hand, keeping the office, its records and its programs running smoothly. Your work will span office administration, bookkeeping, event planning, member communications, community outreach and our accredited CME program, where you’ll coordinate activities and help keep the program compliant.
What you’ll do
Office Support: answer phones, manage mail and email, keep member and physician records and contact lists current, order supplies, and protect confidential information.
Assist in Managing the Books: record dues, fees and grants, prepare deposits, process vendor payments, code transactions in QuickBooks, and help with monthly reconciliations and budget reports.
Coordinate CME Program: schedule committee meetings, prepare agendas and minutes, coordinate speakers, journal clubs, forums and resident lectures, collect faculty disclosures, and maintain accreditation records in PARS and MS Access.
Plan Events: coordinate venues, catering, AV, registrations and RSVPs for member events and conferences, including set-up and follow-up.
Communicate with Members: design flyers, newsletters and social graphics in Canva, send Constant Contact campaigns, and update our website and events calendar.
Assist in Projects and Outreach: support Executive Director initiatives with research, tracking, correspondence and reports, and help run health careers programs such as student shadowing, career events and scholarships.
