Wages

$24.04 - $26.44 per hour depending on qualifications and level of experience

Job Summary

PCYC is hiring a Capri Booking Manager to drive event sales and revenue by cultivating client relationships, converting inquiries into bookings, managing proposals and contracts, and ensuring clients receive a seamless experience from initial inquiry through event execution. The position also manages the Capri’s master event calendar and internal event briefings, coordinating closely with the Capri team to ensure programming, staffing, production, and facility needs are clearly communicated and effectively managed.

Responsibilities

  • Work in close collaboration with Capri Director to meet or exceed Capri revenue goals through effective sales and client relationship management.
  • Respond promptly to booking inquiries with clients and stakeholders.
  • Complete invoices and collection of payment and insurance documents in a timely fashion.
  • Convert leads into booked agreements by identifying available or alternatives dates with potential clients, conducting facility tours and follow-up meetings, determining production requirements through phone consultations, generating and adjusting proposals, collecting liability insurance, and promptly issuing signature agreements and invoices.
  • Solicit prospective clients through networking and one-on-one outreach.
  • Build an Event Proposal and budget for each event, anticipating production and staffing expenses.
  • Ensure a successful day of event experiences by developing and communicating a comprehensive Event Briefing and timeline that accurately informs the Capri Team of event requirements and prepares the client for success.
  • Secure and provide the Box Office Manager with marquee updates for each event.
  • Secure and provide the Communications Director with website updates for each event.
  • Protect PCYC’s investment in the Capri facility by informing clients of all Capri policies, procedures, and security practices.
  • Establish and maintain the client and vendor database for all Capri programming, productions, presentations, and bookings.
  • File contracts, letters of agreement, liability insurance, and other supporting documents for each event.
  • Manage and organize the calendar of all Capri programming, productions, presentations, and bookings to coordinate space reservations and staffing designations.
  • Build, post, and distribute Event Briefings for all internal stakeholders to ensure all details are clearly communicated.
  • Partner with the Capri Team to maintain staff schedules to ensure adequate coverage and efficient workflow.
  • Customize and provide Event Reports for Audience Services Manager and Production & Tech Manager to fill out at the end of each event.
  • Work with the Capri team to evaluate events and develop improvement plans for greater efficiency.
  • Provide updates regarding event dales, revenue, and expenses to the Director of Finance and Operations.

What You Bring

  • At least 3 years of previous experience in sales.
  • A minimum 2-year degree with a focus or experience in Theater or Events is preferred.
  • Demonstrated commitment to diversity of thought, backgrounds, and perspectives.
  • Excellent interpersonal and team skills.
  • Strong project management and oversight skills.
  • Knowledge of arts resources in the Twin Cities area that may benefit clients.
  • Experience using Planning Pod or other event booking, venue management, and event scheduling software.
  • Computer competency with the ability to use these resources effectively in accomplishing work.
  • Certifications in CPR and First Aid (training provided by PCYC/Capri).
  • The ability to handle multiple tasks independently while maintaining attention to detail.
