Job Summary

This role exists to run an assigned tax clinic shift so customers have a smooth, welcoming experience and volunteers can safely prepare accurate tax returns and connect customers to financial services that work for them.

Starting Rate$20/hr.
BenefitsPaid sick and safe time. Mileage reimbursement for work-related travel.

Primary Responsibilities and Essential Functions

Volunteer and shift leadership (45%)

  • Lead the volunteers on your shift (usually 8–15 people) so the clinic runs smoothly from start to finish.
  • Assign volunteer roles for each shift (greeting, intake, tax preparation, quality review, financial services) based on skills, certifications, and language capacity.
  • Provide clear, calm direction during the shift: start-of-shift huddles, role reminders, and plan for the day.
  • Be the point person for on-the-spot questions from volunteers about process, customer flow, and when to involve TFS staff for more complex issues.
  • Give timely, constructive feedback to volunteers during and after shifts and share observations with Volunteer Resources and TFS staff.

Customer experience and accessibility (25%)

  • Ensure every customer is welcomed, knows what to expect, and understands where they are in the process (check-in, intake, preparation, review, exit).
  • Monitor wait times and adjust flow, keeping in mind the needs of older adults, people with disabilities, and customers who do not primarily speak English.
  • Help volunteers explain tax and financial information in clear, plain language, using interpreters or bilingual staff/volunteers when needed.
  • De-escalate concerns and resolve common issues (unexpected wait times, incomplete documents, rescheduling) in a patient and respectful way.
  • Make sure privacy is protected during intake and tax preparation, especially when clinics are in shared or noisy spaces.

Tax clinic operations and quality (20%)

  • Oversee day-of-site logistics for your assigned shift: setup, equipment checks, supplies, and closing procedures.
  • Follow P+P’s standard clinic flow, data privacy rules, and IRS VITA guidelines, and make sure volunteers do the same.
  • Monitor the mix of appointments and walk-ins; coordinate with customer service and TFS staff when you need to adjust the schedule.
  • Flag complex or unusual tax situations and connect volunteers to advanced preparers, TFS coordinators, or the TFS Senior Manager when needed.
  • Use checklists and simple tracking tools to document basic shift information (number of customers served, no-shows, notable issues) and share patterns with TFS staff.

Training, communication, and learning (10%)

  • Attend required pre-season and in-season training and pass the appropriate IRS VITA certification tests for your role (training provided).
  • Model P+P’s processes and customer-service expectations for volunteers, especially new volunteers and those new to VITA.
  • Share on-the-ground feedback about tools, forms, and procedures with TFS and Volunteer Resources staff to improve future seasons and mid-season adjustments.
  • Stay current on key changes to clinic procedures and communicate those changes clearly to volunteers at the start of each shift.

Scope and Key Relationships

Scope

  • Helps operate a free tax clinic site that serves a significant number of low- to moderate-income customers each shift during tax season.
  • Leads a team of 8–15 volunteers per shift, often in partnership with a co-site manager.
  • Responsible for the feel and flow of the clinic during their assigned shifts; not responsible for year-round program design or budgeting.

Key relationships

  • Internal: TFS Coordinators and Senior Manager, Seasonal Site Managers, Volunteer Resources staff, Customer Service staff, Financial Empowerment staff, other seasonal staff.
  • External: Customers, interpreters, and site host staff at clinic locations.

Qualifications

  • Ability to lead a small group in fast-paced situations, stay calm under pressure, and make practical decisions within clear guidelines.
  • Comfort working with people from a wide range of backgrounds, including older adults, people with disabilities, and people who do not primarily speak English.
  • Willingness to learn tax concepts, clinic procedures, and basic use of tax software and other tools; ability to follow detailed procedures.
  • Strong organizational skills and attention to detail; able to track many moving pieces during a shift.
  • Ability to communicate clearly, both in person and in writing, and to explain information in plain language.

Preferred

  • Prior experience in free tax preparation, VITA, or personal tax preparation, or experience in a related financial or social services setting.
  • Experience coordinating volunteers or leading teams in a nonprofit, school, or community setting.
  • Multilingual or multicultural experience (for example Spanish, Somali, Hmong, or ASL) is a plus.

Work Conditions

  • Seasonal role, primarily late January through mid-April, with training in December–January.
  • Most work is performed in-person at tax sites around the Twin Cities metro area; accessibility of specific host locations may vary.
