
Senior Coordinator, Advancement and Alumni Engagement
SUMMARY The Senior Advancement Coordinator provides high-level administrative and project management support to the Office of Advancement and Alumni Engagement. This role is responsible for managing administrative tasks and special projects related to fundraising, donor engagement and stewardship, and alumni engagement, including donor correspondence, scheduling, and financial reporting.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
• Provide high-level administrative support to the Vice President and the Office of Advancement, including scheduling, travel arrangements, expense reports, data entry, filing, mailing, and general office support.
• Track departmental budget and spending and produce monthly budget reports for Advancement leadership; create and manage a system to submit, track, and process purchase orders, invoices, and vendor paperwork to ensure prompt payment and sound budget management.
• Lead the coordination and delivery of endowed fund and scholarship reporting, providing donors with timely, transparent, and personalized updates on the impact of their support.
• Track and manage donor recognition efforts, including naming opportunities, signage, recognition societies, and honor rolls, ensuring accuracy and consistency across platforms.
• Oversee milestone acknowledgments, including timely distribution of birthday, holiday, and other personalized greetings to donors, alumni, and friends of the law school.
• Oversee the selection, purchasing, and inventory of alumni gifts to ensure thoughtful stewardship and timely distribution.
• Maintain inventory of office supplies and equipment and coordinate deliveries; monitor general Advancement email and phone accounts to ensure timely routing and response.
• Support the database team by processing cash, check, or credit card donations as needed.
• Comply with all aspects of the law school’s Customer Service Standards.

Service oriented with ability to make all visitors feel welcome. Must be computer literate with proficiency in MS Office applications with ability to learn new programs as necessary. Strong written and oral communication skills, including the ability to prepare professional written materials and express ideas clearly and concisely. Proficiency in Microsoft Word (including mail merges), Excel (including basic formulas), PowerPoint, and Outlook required; database experience and proficiency required, with Raiser’s Edge experience preferred. Ability to work effectively with faculty, staff, students, alumni, and donors, with excellent diplomacy and tact and the ability to maintain confidentiality and discretion. Demonstrated ability to prioritize multiple tasks and meet deadlines, exercise independent judgment, and problem-solve, with the reliability and resourcefulness to take initiative. Ability to work occasional evenings and weekends and to staff events.
EDUCATION and/or EXPERIENCE
A college degree and at least one year of administrative experience are required. Previous experience in fundraising or development environments is preferred, and knowledge of higher education, legal, or legal education fields is helpful.
LANGUAGE SKILLS
Proficient in both spoken and written English. Ability to interpret and explain complex data as necessary. Ability to effectively and professionally communicate in one-on-one and small group situations to students, alumni, clients, and other employees of the law school.
MATHEMATICAL SKILLS
Ability to perform basic math is essential.
REASONING ABILITY
Ability to define routine problems, collect data, establish facts, and draw valid conclusions and/or deal with a variety of variables in situations, especially when department head may be out of office or unavailable. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Specific vision abilities required by this job include close vision in order to accurately input data and proofread; distance vision in order to recognize and assist visitors to the department.

Fast paced, multi-tasking, non-smoking work environment. Must be able to work the general business schedule of the law school (9:00 a.m. to 5:30 p.m.) with flexibility for extended hours as needed. Occasional evenings and weekends as necessary.
