Our Organization
Augustine Literacy Project of the Upstate is a nonprofit organization committed to helping children become confident readers. We recruit, train, and support volunteer tutors who provide free, structured literacy instruction to children living in poverty who need help learning to read, write, and spell. ALP partners with schools and community sites across the Upstate to help children grow in literacy skills and confidence through caring, consistent tutor support. Position Overview
The Program Coordinator supports the Augustine Literacy Project of the Upstate by managing the day to day systems that recruit, prepare, place, and support volunteer tutors. This role is primarily focused on tutor pipeline, school and hub coordination, and ongoing tutor support so that ALP can serve students well and grow responsibly.
The Program Coordinator reports to the Executive Director and works closely with the Administrative Manager, coaches, course trainers, hub contacts, and school partners. This role is essential in ensuring high-quality literacy instruction for our students while building a vibrant, connected tutor and supporter network across the Upstate.
This is a part-time position, up to 30 hours per week, typically during normal working hours Monday through Friday, with occasional evening or Saturday commitments for events such as Tutor Talks, appreciation gatherings, and trainings. Daily hours are flexible but should generally be consistent. Compensation is competitive and commensurate with qualifications and experience.
Primary first-year objective
Support current tutors, schools, and hub sites throughout the 2026–27 school year; manage placement changes and maintain accurate program records; recruit and prepare a strong group of prospective tutors for January 2027 training; and help ALP build toward the stretch goal of placing and supporting 100 tutors for the 2027–28 school year.
Responsibilities and Duties

  • Recruit, pre‑qualify, and guide prospective tutors through the application, training registration, and precourse process.
  • Help fill scheduled tutor trainings by tracking interest, following up with applicants, and managing reminders and confirmations.
  • Develop and maintain strong working relationships with school and hub administrative contacts to support ALP’s efforts and troubleshoot issues quickly.
  • Place trained tutors with students and partner sites in collaboration with the Executive Director and school or hub partners, and track placements, schedules, and start dates.
  • Coordinate with school contacts, hub coordinators, and lead tutors to confirm schedules, quiet spaces, and other practical needs for effective tutoring.
  • Serve as the first line of support for tutors and hub sites by responding to routine questions and concerns and escalating more complex or sensitive issues to the Executive Director as needed.
  • Coordinate tutor observations by scheduling ALP coaches or other qualified observers, tracking completion, and communicating key follow‑up points.
  • Support tutor retention through Tutor Talks, appreciation efforts, milestone recognition, check‑ins, birthday acknowledgments, and other community‑building activities.
  • Maintain and update accurate tutor records, placement information, and compliance items, such as background checks and required training, using agreed-upon tracking tools and spreadsheets. Compile program data as needed for planning, grant reporting, and donor communications.
  • Review communications and records carefully for accuracy and promptly correct any errors in details such as dates, times, and locations.
  • Track work hours as required and provide regular updates to the Executive Director on tutor pipeline, placements, open needs, and recurring issues that may affect program delivery.
  • Work closely with the Administrative Manager, coaches, course trainers, and partner sites to support strong and consistent program delivery.
  • Draft and coordinate ALP’s periodic newsletters (content, stories, and basic formatting), in collaboration with the Executive Director and ALP’s social media volunteer.

May also

  • Contribute to ALP’s social media presence in collaboration with the current social media volunteer, including occasionally drafting or scheduling posts that highlight tutor stories, program milestones, or events.
  • Support ALP’s fundraising efforts in coordination with the Executive Director by identifying prospective supporters, helping build relationships, and participating in appropriate requests for gifts. Help gather program impact stories with permission and provide program information or event support for donor communications and grant reporting.


Qualifications

  • A desire and commitment to give back to the community and support ALP’s mission of helping children become confident readers.
  • Strong interpersonal skills, including the ability to relate effectively to tutors, school staff, hub contacts, and community partners.
  • Exceptional attention to detail, clear and timely communication, and a collaborative, team-oriented work style.
  • Strong time management and organizational skills, with consistent follow-through on tasks to completion.
  • Ability to manage multiple moving pieces, responsibilities, and deadlines, and to adapt to changing priorities with minimal supervision.
  • Ability to communicate clearly in writing and in person, solve problems, and escalate issues appropriately when needed.
  • Comfort with computers and technology, including email, Google Workspace, spreadsheets, shared files, and electronic calendars.
  • Willingness to learn and adapt to new or updated technology tools used by ALP, such as Canva for basic design and Mailchimp for newsletters.
  • Interest in ongoing learning related to literacy, volunteer management, and nonprofit work.
  • A four-year college degree is preferred; candidates with a high school diploma and at least four years of relevant experience in coordination, relationship-building, or support roles will also be considered.
  • Experience in volunteer coordination, education, nonprofit programs, or other relationship-based work is preferred but not required.

Work Conditions
During the first 90 days of employment, the Program Coordinator will follow an in-person office schedule agreed upon with the Executive Director to support onboarding, collaboration, and learning ALP systems. After the onboarding period, the role will be primarily remote, with regular office hours twice each week, including Thursday afternoons, to answer tutor questions and provide supplies. Additional in-person work will be required as needed.
The Program Coordinator will regularly meet with the Executive Director, visit schools and hub sites across the Upstate for meetings and tutor observations, and provide training class support. The Program Coordinator will also attend Tutor Talk professional development and other tutor events, including occasional evening or Saturday commitments. Reliable transportation, local travel, and comfort visiting multiple school and community sites are required. Consistent availability during August and September is important because of tutor training and the start of the school year.
