ABOUT SHAREWELL

ShareWell is the nonprofit parent platform behind Cayton Children's Museum, Grow/Wild, and a growing network of museum and cultural partnerships. Through shared leadership, finance, operations, marketing, and advancement support, ShareWell helps mission-driven organizations strengthen their impact and sustainability.

Cayton Children's Museum, ShareWell's flagship and largest operation, is a 21,000-square-foot, play-based museum at Santa Monica Place serving 150,000 children and families each year. Grow/Wild extends that work into nature-based learning.

ShareWell is now launching a twelve-month partnership with the Museum of Flying in Santa Monica, providing integrated leadership, finance, development, marketing, and operations support for its relaunch.

THE OPPORTUNITY

The Chief Operating Officer leads day-to-day operations across ShareWell, with Cayton Children's Museum at the center, and is accountable for staff management, operating performance, all earned revenue streams, and timely financial and operating reporting. Alongside the CEO and Chief Advancement Officer, the COO leads the next chapter of Cayton Children's Museum's LA County-wide growth as well as the expansion of ShareWell's shared services umbrella of partner cultural organizations.

DEPARTMENT STRUCTURE AND WORKING RELATIONSHIPS

The COO leads ShareWell's operations, finance, creative, exhibits, and program leadership:

  • Senior Business Manager, Administration & Operations: the COO's principal partner and lead direct report; administration, HR, payroll, vendors, insurance, contracts, and Cayton's museum operations team.

  • Finance Manager (part-time): monthly close, reconciliations, pledge schedules, and reporting.

  • Senior Creative & Exhibits Specialist: brand creative and exhibit design and fabrication.

  • Programs Director, Mobile Museum/Outreach: Cayton programs and Community Connections Mobile Museum (three-van fleet).

  • Program Experience Managers and Children's Theatre Specialist: daily program delivery, facilitation, and theatre programming.

  • Grow/Wild Director: Grow/Wild programs, sites, and educators.

  • Museum Project Manager, Museum of Flying (part-time): on-site partnership work plan.

  • Future program and partnership directors: leaders of new ShareWell initiatives as they launch.

  • Outsourced partners: Citrin Cooperman (accounting and bookkeeping), TriNet (PEO), Edge Solutions (IT), and AUS Security.

The Chief Advancement Officer leads advancement and fundraising events; communications and executive support report to the CEO.

PRINCIPAL RESPONSIBILITIES

Growth, Alongside the CEO and Chief Advancement Officer

  • Cayton Children's Museum: lead the museum's growth in attendance, programs, earned revenue, and community reach, including mobile outreach and future facilities.

  • ShareWell: expand ShareWell's umbrella of partner organizations, building the onboarding, staffing, and shared-services model that lets each new partner thrive.

Strategy, Leadership, and Operating Accountability

  • Execute a ShareWell-wide Annual Operating Plan, anchored in Cayton's operations, with budgets, staffing, service standards, an integrated calendar, and entity-specific reporting.

  • Lead staff and outsourced specialists through clear priorities, coaching, and coordinated work plans, ensuring timely delivery and shared progress toward operating goals.

  • Provide executive-level back-up support and undertake special assignments as requested by the CEO to maintain continuity of organizational leadership.

  • Run the operating cadence: weekly leadership and department meetings, documented decisions with owners and deadlines, and monthly performance reports to the CEO.

Cayton Museum Operations, Programs, and Facilities

  • Ensure a safe, welcoming, and consistent visitor experience at Cayton, including floor coverage, capacity management, ticketing, refunds, memberships, and guest-service standards.

  • Direct facilities, exhibits, safety, security, risk management, insurance, IT, and the Community Connections mobile fleet. Support the CEO and counsel on lease and future-facility planning.

Earned Revenue

  • Oversee all of ShareWell's earned revenue streams, including Cayton admissions, memberships, birthday parties, private events and buyouts, camps, and retail; Grow/Wild program revenue; and shared-services fees from partner institutions.

  • Set revenue goals, pricing, and capacity plans with program and department leaders, and report results monthly to the CEO. Contributed revenue and fundraising events remain with the Chief Advancement Officer.

Finance, Budget, and Board Reporting

  • Lead the annual budget process with the CEO, department leaders, and Finance Manager; monitor results against budget and direct corrective action.

  • Direct a disciplined monthly close and strong internal controls. The Finance Manager prepares reconciliations, Citrin Cooperman determines technical accounting treatment, and advancement owns donor records and gift documentation.

  • Prepare financial and operating dashboards for the CEO's quarterly reporting to the Board and its committees, including attendance, earned revenue, programs, staffing, and partner services.

People and Culture

  • Oversee hiring, onboarding, performance reviews, training, and compliant HR policies and records with the Senior Business Manager and TriNet.

  • Support the CEO's organizational and staffing assessment, then implement the resulting staffing plan, a recurring employee-engagement survey, and retention priorities.

Shared Services and Partner Operations

  • Lead ShareWell's delivery for the Museum of Flying against its agreement and work plans, including staffing, deliverables, and reporting, without diluting Cayton's operations.

  • Track time, costs, and revenue for each engagement, including Grow/Wild, so leadership can evaluate whether every service relationship covers its costs.

INITIAL OPERATING PRIORITIES

During the first 90 days, the COO will build on work already underway and present a full-year Operating Plan at the 90-day review:

  • Assessment: meet every Cayton team; review roles, workloads, coverage, and systems; and deliver an operating assessment with recommended priorities to the CEO.

  • Financial visibility: with the Finance Manager and Citrin Cooperman, establish the close calendar, budget-to-actual reporting, and a first financial and operating dashboard.

  • People: establish the performance-review cycle and an engagement-survey baseline, aligned with the staffing plan.

  • Visitor operations: strengthen Cayton's capacity management, ticketing and refund processes, and public-floor coverage.

  • Museum of Flying: confirm the partnership work plan, staffing, reporting, and cost tracking during its relaunch year.

Companydescription

Our Mission

Cayton Children’s Museum is a nonprofit organization that activates the power of PLAY to enrich the lives of children and their families, build stronger, more connected communities, and create a better world. We strive to nurture children of all backgrounds and abilities to become engaged citizens of the world by facilitating collaborative, experiential learning and creative expression, both in our museum space and through our community programs.
Located in Downtown Santa Monica just blocks from the Pacific Ocean, the Cayton Children’s Museum offers 21,000 square feet of discovery-based exhibits and immersive play. We offer a robust calendar of arts and cultural activities designed for children 0 to 8 and their families, including public programs, festivals, camps, classes, workshops and more.

Beyond museum walls, our community programs bring the Cayton experience into neighborhoods and schools to reach children with limited access to the museum. These experiences, which celebrate the creative, performance and visual arts, are offered throughout the year in partnership with non-profit and community-based organizations that serve parts of Los Angeles County where opportunities for creative, safe, purposeful, and free play are needed most.

While the Cayton Children’s Museum opened to the public in 2019, our organization comes with 30 years of experience in values-based learning. Before we were the Cayton, we were the Zimmer Children’s Museum, serving more than 90,000 visitors a year in our home on Museum Row. Today, building from the heart of the Zimmer and nurtured by the soul of our diverse community, the Cayton is inspiring children and families everywhere to PLAY THEIR WAY TO A BETTER WORLD.
