Summary / Purpose

The Learning Management Administrator leads the administration, optimization, and day-to-day operation of Think Small’s Learning Management System (LMS), supporting staff, early childhood professionals, and partners. This role combines strong LMS administration with knowledge of instructional design, adult learning, and effective online learning experiences. The position ensures that the LMS is reliable, accessible, easy to use, and designed to support high-quality learning, while partnering with staff from across the agency to improve the learner experience.

Essential Duties & Responsibilities

  • Serve as the lead administrator and internal subject matter expert for the LMS, including system configuration, maintenance, troubleshooting, upgrades, integrations, and migrations.
  • Manage user accounts, system roles, permissions, learner records, SFTP course registrations, completions, CEUs, and other learning data.
  • Configure and maintain courses, learning pathways, cohorts, catalogs, automated communications, and other LMS functionality.
  • Serve as a thought partner on technology solutions and LMS capabilities that improve the learner experience and support program goals.
  • Apply adult learning, instructional design, and online learning best practices when developing, reviewing, and improving online learning experiences.
  • Partner with program staff and subject matter experts to translate learning goals and content into engaging, accessible online learning experiences.
  • Support the design and development of asynchronous courses and learning materials using Articulate (e.g., Storyline, Rise 360) and other eLearning tools.
  • Review existing courses for learner engagement, usability, accessibility, instructional effectiveness, and alignment with adult learning principles.
  • Recommend appropriate learning formats, activities, assessments, and digital tools based on learning objectives and audience needs.
  • Support the development of learning pathways that help learners build knowledge and skills over time rather than relying only on stand-alone courses.
  • Use learner feedback, platform data, and usability testing to identify opportunities to improve online learning and the overall LMS experience.
  • Provide escalated customer and help desk support to internal and external LMS users.
  • Collaborate with IT, vendors, and other partners to troubleshoot system issues, implement updates, and support integrations.
  • Support integration between the LMS, website, CRM, and external systems such as the MN Workforce Registry (Develop).
  • Ensure LMS content and functionality meet accessibility standards, including Section 508 requirements and language-access needs.
  • Maintain LMS documentation, including administrative procedures, user guides, FAQs, and policies.
  • Administer online video conferencing and virtual learning tools such as Microsoft Teams and Zoom.
  • Develop monthly and on-demand LMS reports and dashboards to support program management and decision-making.
  • Add, renew, update, and maintain asynchronous courses in Articulate, Develop, and the LMS as needed, including supporting multilingual and translated course content.
  • Participate in meetings and collaborate across teams to achieve departmental and organizational goals.
  • Maintain reliable attendance and perform duties safely and in compliance with organizational standards.
  • Perform additional duties as assigned.
Requirements

Qualifications (Education, Experience, Skills)

Education:

  • Bachelor’s degree required.
    • Coursework or professional development in instructional design, education, adult learning, learning technologies, or a related area preferred

Experience:

  • 3–5 years of experience administering a learning management system, including system configuration, reporting, troubleshooting, and learner management.
  • Experience developing or supporting online and asynchronous learning.
  • Demonstrated understanding of adult learning principles and best practices for online learning.
  • Experience applying instructional design principles to course development, revision, or quality improvement.
  • Experience working with subject matter experts to translate content into effective learning experiences.
  • Experience with eLearning authoring tools such as Articulate Storyline and Rise.
  • Experience supporting diverse adult learners and designing for accessibility, usability, and different levels of digital literacy.
  • Experience using learner feedback or LMS data to improve courses and learning experiences.
  • Experience in early childhood education, workforce development, professional development, or a related field preferred.

Skills:

  • Strong LMS administration, troubleshooting, and technical problem-solving skills.
  • Strong understanding of adult learning, online learning, and instructional design best practices.
  • Ability to distinguish between a content problem, instructional design problem, user experience problem, and technical LMS problem and recommend appropriate solutions.
  • Ability to organize complex learning content into clear, usable online experiences and pathways.
  • Strong written and verbal communication skills.
  • Strong collaboration skills and ability to work effectively with program staff, subject matter experts, vendors, IT, and marketing.
  • Excellent organizational, planning, and problem-solving skills.
  • Ability to manage multiple priorities and deadlines.
  • Strong attention to detail and data accuracy.
  • Proficiency in Microsoft Office Suite, SharePoint / OneDrive, and Excel data visualization.
  • Experience with eLearning and multimedia tools, including Articulate Storyline/Rise and basic audio, video, image, and HTML editing tools.
  • Commitment to accessibility, customer service, collaboration, and continuous improvement.

  • Physical Demands: Sedentary work; extensive use of computer and telephone.
  • Work Environment: Office or remote environment with standard equipment.
  • Travel: Minimal or rare.
